PARTICIPATION DOCUMENTATION & RECORD-KEEPING PROCEDURES
1. Purpose and Scope
This document sets out how the World Economic Chamber documents and retains records connected to participation in its forums, initiatives and cooperative programs, distinct from membership records maintained under the Chamber's broader Record-Keeping & Documentation Standards.
2. Documentation Principles
Participation records must satisfy accuracy, reflecting genuine participation activity; completeness, capturing all material engagement; and retrievability, supporting review where participation-related questions arise.
3. Scope of Records
Records include participant registration and eligibility assessment where applicable, attendance and engagement records for forums and initiatives, and any commitments or contributions made by participants in the course of their involvement.
4. Retention and Access
Participation records are retained consistent with the Record-Keeping & Documentation Standards, with access limited to those with a legitimate institutional need, reflecting the mixed membership and non-member composition typical of many Chamber activities.
5. Non-Member Participant Records
Where non-member organisations or individuals participate in a Chamber activity, their participation is documented on the same standard applied to member participants, ensuring consistency across the Chamber's institutional record.
6. Oversight Review
Participation documentation practices are subject to periodic review by Oversight & Compliance Functions, with deficiencies addressed through documented corrective action.
7. Alignment with Governance Framework
These procedures ensure that the Chamber maintains an accurate and complete record of participation across its forums and initiatives, supporting institutional accountability and continuity regardless of participant composition.
