PROGRAM COMMUNICATIONS & INFORMATION HANDLING POLICY
1. Purpose and Scope
This document sets out how the Executive Secretariat communicates with members, counterparts and other stakeholders in connection with program administration, and how information exchanged in that context is handled. It applies to all communications and information connected to the design, implementation and conclusion of the Chamber's programs and initiatives.
2. Communication Principles
Program communications are governed by accuracy, ensuring that information provided to members and counterparts reflects verified program status; clarity, ensuring communications are readily understood by their intended audience; and consistency, ensuring messaging regarding a given program does not vary inappropriately across different recipients or jurisdictions.
3. Communication with Members and Counterparts
Communications regarding program participation, requirements and progress are issued through defined Secretariat channels, ensuring members receive timely and accurate information regarding programs in which they participate. Where a program spans multiple jurisdictions, communications are coordinated consistent with the Cross-Jurisdictional Communication & Information-Handling Guidelines.
4. Handling of Program Information
Information gathered in the course of program administration, including participant data, implementation records and outcome information, must be handled according to its sensitivity, with confidential or proprietary information disclosed only to those with a legitimate institutional need to know.
5. External Communications
Where program-related information is proposed for external communication, including through the Chamber's Media & Communications channels, it must be reviewed consistent with the standards applied to Press Releases & Official Statements, ensuring accuracy and consistency with the Chamber's broader institutional positions before release.
6. Documentation
All material program communications must be retained in accordance with the Record-Keeping & Documentation Standards, providing an accurate record of information provided to members, counterparts and the public in connection with a given program.
7. Alignment with Governance Framework
This policy ensures that program-related communication is conducted with the same discipline, accuracy and confidentiality applied across the Chamber's broader communications and information-handling standards, protecting both participant trust and institutional credibility.
